Plain-language overview

Information is collected to quote, book and safely complete the requested work

Car-key work often requires exact vehicle details, location information, photos and reasonable proof that the person requesting security-related work is authorised. NEED CAR KEYS limits collection to information reasonably connected with the enquiry, booking, service, payment, safety and business records.

The original page was a generic policy template. This version has been tailored to how an owner-operated mobile automotive locksmith communicates and performs work.

1About this policy

This policy explains how NEED CAR KEYS collects, holds, uses and discloses personal information when you visit this website, request a quote, make a booking, communicate with us or receive an automotive locksmith service.

NEED CAR KEYS is an owner-operated mobile automotive locksmith business. We aim to handle personal information responsibly and, where applicable, consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy applies to information handled through needcarkeys.com.au, telephone calls, SMS, email, in-person service and related business systems. It does not govern independent third-party websites or services linked from this website.

2Personal information we may collect

The information collected depends on the enquiry or service. It may include:

  • your name, telephone number, email address and preferred contact method;
  • the vehicle make, model, year, registration, vehicle identification details and key type;
  • the vehicle location, service address and appointment information;
  • photos or videos of keys, locks, ignitions, start buttons, dashboards, vehicle documents or relevant faults;
  • details showing lawful ownership, possession or authority where security-related work requires verification;
  • messages, call notes, quote details, invoices, job records, warranty information and payment status;
  • technical website information such as IP address, browser type, requested pages, dates, times and server security logs.
Please avoid sending unnecessary identity documents or unrelated personal information. Where a photo is requested, include only what is reasonably needed to identify the vehicle, key or problem.

3How we collect information

We generally collect information directly from you when you call, text, email, request a quote, make a booking, supply photos or documents, or speak with us at the vehicle.

Information may also be received from a person acting with your authority, a roadside-assistance provider, insurer, repairer, dealer, fleet operator, property manager or another referring party. In limited circumstances, relevant information may be obtained from publicly available records or vehicle-security and parts systems where reasonably necessary to provide the requested service.

4Why we use personal information

We may use personal information to:

  • identify the correct key, remote, transponder, smart-key or repair procedure;
  • prepare quotes, confirm availability and arrange mobile attendance;
  • verify lawful ownership, possession or authority before security-related work;
  • provide vehicle entry, key cutting, programming, repair and diagnostic services;
  • order parts, obtain security information or communicate with suppliers where required;
  • process payments, issue invoices and maintain accounting, taxation, warranty and business records;
  • communicate about appointments, delays, completed work, follow-up issues or legitimate service updates;
  • protect customers, vehicles and the business from fraud, misuse, threats or unlawful activity;
  • maintain, secure and improve the website and business systems;
  • comply with legal obligations and respond to lawful requests.

5Vehicle photos and proof of authority

Photos can help identify the correct key system and reduce the risk of bringing an incompatible part. Depending on the work, we may ask for images of the existing key, ignition, start button, dashboard, registration details or another relevant vehicle feature.

For vehicle unlocking, key origination or programming, identification and reasonable proof of lawful ownership or authority may be required. We may decline or stop work where authority cannot be established or circumstances appear unsafe or suspicious.

Documents and images are used for the enquiry, booking, service, security verification, record keeping and related dispute or warranty purposes. They are not used for unrelated advertising without permission.

6When information may be disclosed

We do not sell or rent personal information. Information may be disclosed only where reasonably necessary to:

  • key, parts, software, dealer, vehicle-data or security-code suppliers assisting with the requested work;
  • payment, accounting, booking, email, telecommunications, web-hosting, cloud-storage, IT and security providers;
  • insurers, professional advisers, debt-recovery providers or dispute-resolution services;
  • law enforcement, regulators, courts or other parties where disclosure is required or authorised by law;
  • another party with your consent or at your direction.

Service providers are given only the information reasonably required for their role, subject to their own legal and contractual obligations.

7Payments and financial information

Payments may be processed through a third-party payment service or mobile EFTPOS provider. NEED CAR KEYS generally does not receive or store your complete card number, security code or banking credentials when a provider processes the transaction.

We may retain transaction references, receipts, invoice details, payment status and limited account information needed for accounting, refunds, chargebacks, fraud prevention and legal record keeping.

8Website data, cookies and external links

The standalone pages on this website do not intentionally set advertising cookies. The web server and hosting infrastructure may automatically create standard technical logs needed to deliver pages, maintain security, diagnose errors and prevent misuse.

If analytics, embedded media, maps, booking tools or other third-party services are used elsewhere on the website, those services may collect technical information or use cookies according to their own privacy terms. Links to Google, Facebook, Instagram, YouTube, payment providers or other external services take you to websites controlled by those organisations.

You can manage cookies and site data through your browser settings. Blocking essential site functions may affect how some linked or interactive services work.

9Marketing and service communications

We may contact you about a quote, booking, payment, completed service, warranty issue or another matter directly related to your enquiry or job.

Promotional messages will only be sent where permitted, such as where you have consented or would reasonably expect the communication. You can ask us to stop promotional communications at any time. Service, safety, invoice or booking messages may still be sent where necessary.

10Storage, security and retention

Reasonable administrative, technical and physical safeguards are used to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These safeguards may include access controls, device security, account authentication, software updates, secure payment providers and limiting information to what is reasonably needed.

No website, phone, email or electronic storage system is completely secure. Please do not send highly sensitive information unless it has been requested and is necessary for the service.

Information is retained only for as long as reasonably required for the purpose collected, including service history, warranty, safety, legal, taxation, accounting, insurance and dispute-resolution needs. Information that is no longer required may be securely deleted, destroyed or de-identified where practicable.

11Overseas processing

NEED CAR KEYS does not routinely send customer information overseas for its own purposes. However, some web-hosting, email, cloud, telecommunications, payment, software or social-media providers may store or process information in Australia, the United States or other countries in which they or their subcontractors operate.

The privacy protections in another country may differ from Australian law. Where reasonably practicable, reputable providers and appropriate account-security settings are used.

12Access and correction

You may ask to access personal information we hold about you or request correction of information that is inaccurate, out of date, incomplete, irrelevant or misleading.

Send the request to service@needcarkeys.com.au. We may need to verify your identity before providing information. Access may be limited where permitted by law, such as where disclosure would affect another person, reveal commercially sensitive material or create a security risk. If access or correction is refused, we will explain the reason where appropriate.

13Privacy questions and complaints

Send a privacy question or complaint by email, SMS or telephone using the contact details below. Please describe the issue and include enough information for it to be investigated. We will aim to acknowledge and address the matter within a reasonable period.

If the Privacy Act applies to the matter and you are not satisfied with the response, you may be able to contact the Office of the Australian Information Commissioner through oaic.gov.au.

14Changes to this policy

This policy may be updated when business practices, website technology, service providers or legal requirements change. The latest version will be published on this page with a revised update date.
